Why Superpharm
Paper registers go missing. Spreadsheets get overwritten. Binders fall out of date. Superpharm keeps every record your pharmacy needs signed, dated and ready to show.
Features
Everything a community pharmacy records.
Switch on what each branch needs. Everyone sees what their role allows.
Responsible Pharmacist register
Start and end duty, record absences against the two-hour limit, and hand over to the next pharmacist.
Controlled drugs register
One register per drug, form and strength, with the statutory details, pharmacist sign-off and running balances.
Daily tasks
Task lists for every role, ticked off through the day, with the team’s progress at a glance.
Premises and stock
Fridge temperatures, the cleaning rota, date checks and expired stock.
MHRA alerts
Drug and device alerts in one list, with each branch’s action recorded.
SOPs and training
Versioned SOPs with approval and review dates. Staff read and acknowledge each version.
Clinical governance
Near miss and incident logs, concerns, RP audits and root cause analysis.
Kiosk sign-in
Staff sign in on the shared counter device with their PIN, and only on your premises.
PGDs and risk assessments
A PGD library with expiry dates and practitioner sign-off, and scored risk assessments.
Dashboard and reporting
A dashboard for every branch, notifications, quick search and a monthly compliance snapshot.
A day at the pharmacy
Recorded as it happens, not at closing time.
Every entry carries the time it was made and the person who made it. When the doors close, the day’s records are already done.
- Pharmacist register
The RP signs in
At the counter kiosk with a PIN, or on their own device. The time is the server’s, never typed in.
- Fridge log
The fridges are checked
Each reading is logged against that fridge’s range. A reading outside it is recorded as an excursion.
- CD register
A CD delivery arrives
The entry takes the supplier’s name and address. The balance moves once a pharmacist signs it, not before.
- Pharmacist register
The RP steps out
The absence counts against the two hours allowed in the business day, in the branch’s own time zone.
- MHRA alerts
An MHRA alert comes in
It shows at every branch, and each branch records what it did about it.
- Near miss log
A near miss is logged
The dispensing team records it, and the month’s near misses are reviewed together to spot patterns.
- Handover notes
Handover
A note the next RP acknowledges, and a warning about unfinished RP tasks before signing out.
Inspections
Ready when the inspector calls.
The records you keep every day become the evidence an inspector asks for, without a week of preparation.
- A GPhC Inspection Pack for the last 3, 6 or 12 months, signed by the superintendent pharmacist
- Monthly and yearly audit reports, produced automatically
- A monthly compliance snapshot for every branch, grouped by the GPhC standards
- Registers kept as written: every correction shows who, when and why

Independents and groups
From one pharmacy to a chain.
Start with a single branch and add more as you grow. Superpharm keeps each branch’s records in its own place and each person to their own work.
Every branch, one account
Each branch keeps its own registers, logs, opening hours and time zone. Owners see them all; staff see the branches they work at.
Seven roles, one set of rules
From owner to counter assistant, and people can hold several. The owner decides what each role can do, within limits Superpharm sets.
Pharmacist checks built in
Being the RP, signing CD entries, approving SOPs and signing PGDs need a pharmacist with a verified GPhC number.

Security
Built for regulated records.
Pharmacy records have to be right, complete and private. Superpharm is built that way from the database up.
Your records, kept apart
Each pharmacy group’s data is separated by the database itself.
A full audit trail
Every change records who made it, when and from which device.
Protected sign-in
Hashed passwords, lockouts, and kiosk PINs only on your own devices.

Who is Superpharm for?
UK community pharmacies, from a single independent to a group with many branches: owners, superintendent pharmacists, managers, employed and locum pharmacists, and the rest of the pharmacy team.
Does it replace our paper registers?
Superpharm keeps the Responsible Pharmacist register and the controlled drugs register electronically, designed around the Responsible Pharmacist Regulations and the Misuse of Drugs Regulations. Entries are never changed in place: a correction is added as an amendment that shows who made it, when and why.
Can locum pharmacists use it?
Yes. Add locums to your pharmacist directory and they sign in on the counter kiosk with their GPhC number. They do not need an account.
How do staff sign in?
With their email and password on their own device, or with a PIN on the shared kiosk at the counter. The kiosk only works on a device your manager has set up for that branch.
How much does it cost?
It depends on the size of your group and the features you need. Tell us about your pharmacy and we’ll send you a quote.
How do we get started?
Request access and tell us about your pharmacy. We set up your group and branches and email the owner a link to sign in; the owner then invites the team.
See Superpharm in your pharmacy.
Tell us about your pharmacy and what you need, and we’ll be in touch.
